Providing Structure and Support: ATX Web Designs Case Study

In 2017, Austin-based ATX Web Designs was experiencing what every business owner wishes to experience: growth.
ATX Web Designs was also experiencing the ever-increasing demands of an expanding business, and CEO Daniel Griggs knew he needed to start looking for help. Daniel was looking for administrative assistance and structure but wasn’t ready to take on a full-time employee. With experienced and skilled virtual assistants, Trusty Oak was the solution he had been looking for.

Challenges

Early on, Jessica recognized that ATX Web Designs was suffering from a lack of organization and structure in daily operations, so she set out to find solutions that could help put them on the right path for internal success. She also recognized additional needs in social media assistance, lead generation, and administrative support that she was ready to help tackle in order to assist Daniel with his growing business. For the next year, Jessica dedicated herself to ATX Web Designs and these tasks at hand.

Solutions and Impact

The Right Tools for the Job

Jessica got to work quickly by introducing Daniel and the ATX Web Designs team to several tools to add structure and automation to daily operations.

  • Trello: Jessica introduced Trello to help the team manage projects and assign tasks. Trello simplified projects and made collaboration easier.
  • MyHoursNext, Jessica set up the time tracking software MyHours for tracking the team’s time per project and assisting with management.
  • HubSpot CRMJessica helped Daniel get set up with HubSpot’s free CRM to assist with sales implementation.

Administrative Assistance

Jessica helped Daniel create confidentiality agreements, employee contracts, and an employee handbook. She has provided project support as needed and has grown to be a part of the ATX Web Designs team. Recently, as the company’s needs have continued to grow, Jessica assisted Daniel in hiring more Trusty Oak VAs to help with lead management and social media. This did wonders for his business by allowing Trusty Oak to manage the day-to-day administrative aspect of his business so he can focus on what he does best, serving his clients.

Looking to the Future

Today, ATX Web Designs continues to thrive, and Trusty Oak is proud to be part of their success. Trusty Oak has removed the need for additional full-time staff and provided Daniel and his team with quality, efficient work. He has been able to focus on growing his business while the day-to-day operations are under control. Jessica says she plans to implement a structured sales process in the near future to assist Daniel with his increased business.

Daniel Griggs“Trusty Oak is a huge part of ATX Web Designs business and day to day operations, both internally with our team and externally with clients. What I love most is the quality people we work with. We’ve used 5 VAs through Trusty Oak and every single of one them does an extremely great job. It eliminates so much more stress on us because we don’t have go through the vetting process to see if an individual may or may not be the right fit. With Trusty Oak, we can choose anyone and expect the same high level of quality work and communication. They help us regularly with projects, social media, online marketing, sales, lead gen, internal organization, and more! As a CEO and founder, there’s so much relief to have access to great talent. Because of Trusty Oak our business continues to grow.”
